ABOUT URBAN PACE:
Urban Pace is a full-service real estate brokerage and development services firm supporting high-volume residential and multifamily projects across the DC Metro region. Our work spans new construction sales, leasing, marketing, and advisory services for some of the region’s most active developers and owners. We are seeking a highly organized, detail-driven Transaction & Operations Coordinator to support the execution of sales, leasing, and office workflows across the brokerage. This is a mission-critical execution role focused on accuracy, consistency, and follow-through. This position reports to the Director of Brokerage Operations and works closely with agents, project teams, and leadership to ensure transactions move efficiently and documentation remains complete and compliant.
ROLE OVERVIEW:
The Transaction & Operations Coordinator is responsible for day-to-day transaction processing, documentation tracking, compliance support, and office operations. This role focuses on execution and coordination rather than policy-setting or strategic system design. The ideal candidate thrives in a fast-paced environment, enjoys creating order from complexity, and understands the financial and compliance importance of precision in a transaction-based business.
WHO YOU ARE:
You are a highly organized, process-driven professional who understands that accuracy and documentation are non-negotiable in real estate. You are comfortable working with contracts, financial records, CRM systems, excel and shared document environments. You manage multiple deadlines without losing control, communicate clearly with agents and internal teams, and identify issues early rather than reacting late. You take pride in clean files, clear records, and smooth closings.
KEY RESPONSIBILITIES:
Transaction and Compliance Coordination
• Maintain, track, and organize all fully executed listing agreements
• Oversee each sales contract from receipt through closing, ensuring accurate logging, document compliance, and settlement verification
• Perform weekly lease compliance checks by validating leasing reports and confirming execution status with agents
• Prepare and update agent year-to-date commission and transaction statements
• Support commission tracking, billing documentation, and revenue verification
• Maintain and monitor agent licensing records and renewal requirements
Operational and Administrative Support
• Maintain organized digital and physical transaction files in accordance with brokerage standards
• Support CRM data accuracy and transaction status updates
• Assist with accounting support functions, including transaction documentation and reconciliation preparation
• Perform monthly reconciliation of corporate credit card activity, ensuring transactions are properly coded, documented, and recorded
Office Operations
• Oversee day-to-day office operations, including maintaining office and kitchen supply inventories
• Ensure required supplies are stocked, organized, and available to support daily business operations
• Procure project-specific supplies in accordance with approved request processes
• Coordinate with the Marketing team and project stakeholders to ensure timely, accurate, and cost-controlled purchasing
REQUIRED QUALIFICATIONS:
Experience
3+ years of experience in one or more of the following areas:
• Real estate transactions or transaction coordination
• Office management or operations support
• Administrative or accounting support in a professional services environment
Technical Skills
• Experience working with contracts and document management systems
• Familiarity with CRM platforms
• Experience with SharePoint or similar document management systems
• Working knowledge of QuickBooks or similar accounting software
Core Skills
• Strong written and verbal communication skills
• Exceptional attention to detail and organization
• Ability to manage multiple active transactions simultaneously
• Comfortable working within structured processes and deadlines
COMPENSATION AND BENEFITS:
Salary
• Full-Time, Salaried Position
• In compliance with Washington, DC pay transparency requirements, the anticipated base salary range for this position is $55,000 to $60,000 annually, commensurate with experience and qualifications. This role is benefits-eligible and may include additional performance-based incentives tied to transaction volume, accuracy, and operational support metrics.

JOB LOCATION:
This is a hybrid position with an in-office expectation of 3–4 days per week, with 1–2 days per week eligible for remote work based on workload and operational needs.
The primary office is located in Logan Circle, Washington, DC. The role also requires weekly in-person meetings at our Arlington, Virginia office, and regular travel between offices is expected.

Senior Sales Manager – New Construction
JOB DESCRIPTION SUMMARY:
Urban Pace is seeking a Senior Sales Manager to join their onsite sales team at Northbank, the largest new construction project currently selling in Downtown Philadelphia. Sales at Northbank started in October of 2020 and over the last 5.5 years, Northbank has consistently been one of the fastest selling and most successful new communities in the Philadelphia Region. There are currently about 130 townhomes remaining in the final phase of Northbank. As a Senior Sales Manager, you will work in conjunction with the current sales team and the Urban Pace management team to implement and execute a creative sales plan that helps drive townhome sales at Northbank.
ABOUT URBAN PACE:
Urban Pace, provides Residential Development Services - marketing, sales, leasing and advisory services to real estate developers. Founded in 2001, our team is the experienced authority having worked on more than 300 communities from large master planned sites to urban boutique buildings. We specialize in condominiums, townhomes, apartments and new construction sites across all price points. Headquartered in Washington, DC, Urban Pace expanded into Philadelphia in 2016 when it oversaw the successful sales and marketing of Southwark on Reed. Today, Urban Pace is very active in the Philadelphia Market, currently working on the largest new construction project in Philadelphia with other projects in our pipeline.
KEY RESPONSIBILITIES:
• Meet sales and settlement goals as defined by Urban Pace management team and Builder
• Communicate directly with Builder in order to establish sales goals, negotiate contracts and ensure successful execution of sales plan
• Follow and track loans for our buyers under contract by leading weekly update calls with Designated Lenders
• Coordinate settlement schedule with Urban Pace Settlement Coordinator, Title Company and Designated Lenders
• Meet with buyers to select optional upgrades and selections for each home
• Lead Broker outreach efforts to promote the community and increase onsite sales traffic
• Track onsite sales traffic and buyer demographics in Urban Pace CRM system
• Communicate directly with construction and Builder regarding punch list items and upcoming closings
REQUIRED QUALIFICATIONS:
• Bachelor's Degree; Industry related field of study preferred
• 10+ years of real estate experience, preferably new construction, related business experience or any similar combination of education and experience
• Licensed Realtor in the Commonwealth of Pennsylvania
• Experience in new construction townhome sales and understanding of the Philadelphia real estate market
• Proficient in Microsoft Office Suite, specifically Excel
• Experience with Trend and/or other regional real estate listing services preferred
• Strong data software applications skills
• Must possess strong collaboration skills, be able to work under direct supervision as a team member, as well as be able to work independently
• Proven record of providing excellent internal and external customer service
• Excellent verbal and written communication skills
• Effective listening and critical thinking skills
